January 2022 Executive Board Meeting Minutes

  • Called the meeting to order at 7:04PM, EST
  • Dave is going to research where our IPMS/USA charter document is located
  • Kudos to Mike Oberholtzer for spearheading the Wild Apricot integration efforts with the National Convention registration team.
  • Asked for concerted effort to get the membership records updated to help keep the Journal going out to the membership on time.
  • Dave initiated a discussion regarding IPMS/USA’s liability insurance.  We need to re-evaluate our coverages to include major catastrophe (i.e. covid, etc.)  Rob to work with Dave to research the requirements.

Help Us Keep You Informed

Make sure we have the right email address!

IPMS/USA Members, our new membership system is off to a good start, but like everything new, there are some new things to be aware of. Here are a couple of things that have come to our attention:

  1. When you visit IPMSUSA.org and follow the links to our "Membership Home" page, or if you see a link in an email from us, you might notice that the address ipmsu28.wildapricot.org sometimes appears. This is a legitimate address. Wild Apricot is our partner for the new membership and event system, so you will see their address often. You might also notice “Powered by Wild Apricot Membership Software at the bottom of the new pages.

New IPMS/USA Membership and Event System Rolls Out Today

Fellow modelers, today we roll out a new member and event management system that will bring IPMS/USA into the 21st century. With over 4,500 members, IPMS/USA is much too big and complex to manage on an Access database any longer! The new system brings automated processing to many of the repetitive tasks involved in keeping track of our memberships and will improve turnaround time on renewals, new memberships, convention registrations and more.

Some of the features you can take advantage of now:

  • Online Renewals: You will now begin to receive emails notifying you when your membership renewal is due. No more wondering or checking the Journal cover for your expiration date- you will get a few reminders...

  • Initiated a “meet and greet” discussion in which each member of the board introduced themselves to the others and gave brief summaries of their modeling lives and ideas for IPMS.
  • IPMS Board email addresses assigned to each e-board member.
  • Working on a new website that will be interactive with the Wild Apricot system. Target launch is 1st of the year.
  • Working on some updates to the Journal and its distribution.
  • We have just under 4,500 “active” members.
  • Would like to broaden the number of chapters to increase membership.
  • John and Rob working to grow the National Convention.

The New IPMS/USA Membership and Convention Registration System is coming January 1, 2022!

That may not seem like an exciting announcement, but it means a big change for the better in the way IPMS/USA manages our member database and registers members for the National Convention. Here are some of the highlights of the new system, and how it will improve the way you as a member will interact with IPMS/USA.

  • Membership, Convention Registration and Payments combined into one system. Because everything is in one system you won’t have to re-enter your information into separate systems or have different passwords to remember.

IPMS/USA Members, We Need Your Help!

As IPMS/USA transitions to a new membership and event management system (Wild Apricot) and we update our website, we need your help.  Do you have a background working with web apps or web content design? Are you a writer who can help us get the IPMS story across better on our website? The following is a list of positions we envision in support of the transition to Wild Apricot and on an ongoing basis, plus a few that are open in other roles.  IPMS/USA members who volunteer will receive the required supplemental training, and your membership will be complimentary during your tenure, but your biggest satisfaction will come from helping ensure the Society’s growth and continuation through the work you are doing. We look forward to hearing from you!
