Round Table / Action Item Updates
PP:
Election 2025 - For all those running for positions for EBoard - the deadline for nominations is end of
December. Don't delay in getting the required signatures and write-ups submitted on time.
JN:
60th Anniversary giveaway finally gaining a bit of traction, three recent respondents with positive feedback
received.
The Naval Research Guild (NRG) Director forgot to invite us (D. Lockhart/J. Noack) to their Board meeting but
she presented her case for NRG/IPMS partnership to her leadership team.
First Hampton Roads Industry invitation letters (signed by 1VP) have started to go out - working with the
HR2025 team to assist in this.
For the Convention, the IPMS/USA hosted Manufacturer Dinner will be renamed appropriately to signify the
contributions of manufacturers to the Reviewer Corps efforts.
SH:
Website for Nationals is nearing completion. ETR to send FAQs from previous conventions to SH/Eric Aitala
(EA) for website.
2025 Contest Categories nearly done. Proposing a new updated Category numbering system to remove a/b/c,
etc. in Category designations so that they can be used explicitly for designating splits during the convention.
This will lead to better tracking of splits moving forward.
Raffle Technology - Hampton adopting barcode technology for their Raffle. A locally grown app to throw
winning numbers onto a website has been used by other chapters. Planning to use the same technology for
the 2026 convention as well.
Current target of March 1 for Hotel and Pre-registration.
SH preparing an email blast to solicit interest in bids for the 2027 Nationals.
SH to reach out to JN about contact details for an Atlantis Make and Take
MO:
Information Security Policy was drafted and sent to the EBoard, this fulfills a legal requirement. EBoard
unanimously approved the Information Security Policy with the edits.
October Financials presented, quiet month in terms of activity, but finances remain steady.
Membership analysis shows that most new members are signing on for the 60th anniversary 3-year
membership plan, and renewals are utilizing it as well. Typical post-convention drop of 1 year Adult
memberships. Overall membership levels remain in the 5K range with small positive gains.
JF:
Proposing a Data Analyst Role. Job description of role to include time commitment of ~ 5 hours a week. Will
post job on the website, through email blast, and a teaser post on Facebook.
RA:
Lead designer of the Journal was in Florida and impacted by hurricanes, RA has taken over the main designer
duties for the next two issues. Publication team has 9 members who participated in the most recent meetings.
There will be a call for more designers to grow the publication team for a larger volunteer base.
Generally positive feedback from the FB post explaining the recent journal design changes, still lots of
feedback coming in via the email iujfeedback@ipmsusa.org
Journal cover for the Nationals issue was a higher quality paper stock, it was determined that it was worth the
cost, and the cost is currently feasible, and so it will be continued.
ETR:
Scheduled the finalization meeting for the Mission/Vision/Benefits verbiage with PP, JN, JF. Met with JT two
weeks ago to brainstorm and get his input on the document before we move forward. All current edits will be
sent to the sub team for review prior to the next meeting.
In an effort to help membership understand who the EBoard is (just fellow human modelers who are
volunteering for the organization) - all EBoard members are encouraged to post relevant "concise" messages
about key events that have to do with their role on the EBoard. Just a few sentences about things that are
happening behind the scenes. ETR will help suggest content as necessary, but all EBoard members are
encouraged to "speak up" and post as they see fit.
New Facebook/YouTube contributions - ETR to work with JF to reach out to the RCs to do short form
messages for Facebook/YouTube to promote Regional activities - and draw more attention to local club
activities. Getting the message out to modelers who might be unaware of clubs and activities available in their
area. ETR to work with JT to do the same for SIGs - to raise awareness and create positive content.
To make sure that we have space in the future on relevant Social Media platforms - created a new IPMS/USA
account in BlueSky (X/Twitter alternative) and an account and server space for IPMS/USA on Discord. Making
sure we have the IPMS/USA name locked up for our exclusive use.
All this leads to the development of a Consolidated Communications plan across our website and social media
platforms - Website, Email, Facebook, YouTube, Twitter/Bluesky, Discord. Identifying the audience of each
space, and how to use it moving forward to reach out to current membership, lapsed members, and new
audiences. Highlighting new content, clearer communications, and more purposeful interaction, with more
focus on providing value to local chapters, members.
